AI ReplyMate ("we", "us") provides an AI-powered receptionist for local-service businesses. This policy explains what we collect, why, and how to control it.

The data controller is Jitendra Khadoliya, an individual sole proprietor based in India, who operates AI ReplyMate.

Data we collect

• Account data. Email, name, organization, role.
• Tenant content. Business hours, services, KB documents, branding.
• Conversation data. Transcripts of visitor chat (per-tenant, isolated via RLS).
• Booking data. Customer email + appointment times when a booking is made.
• Usage data. Token usage, request counts, error logs (no PII).

Why we collect it

Strictly to provide the service: AI grounding, booking, billing, security, and product improvement.

Who we share with

• LLM providers (Google Gemini by default) — only the prompt + retrieved context.
• Twilio for SMS delivery.
• Resend for transactional email.
• Paddle, our merchant of record, for payment processing and billing (Paddle receives your email and payment details; card numbers never touch our servers).
• Supabase for database hosting.

We never sell data. We never train shared models on your data.

Your rights

You can export, correct, or delete your data at any time from Settings. For account deletion, email support@aireplymate.com.

Security

Postgres Row-Level Security on every tenant-scoped table. TLS in transit. Encryption at rest. Audit log of every owner/admin action. Secrets stored in environment variables and never logged.
